Terms & Conditions

1. About us
Pet Passport Vet (“we”, “us”, “our”) is an online platform operated from the United Kingdom that connects pet owners with APHA-authorised Official Veterinarians (“OVs”) for the preparation of Animal Health Certificates (“AHCs”) required for travelling with pets from Great Britain to listed countries. Contact us at info@petpassportvet.com.
2. The service
Our platform allows you to book an appointment with an OV, submit your pet's vaccination and identity details, and receive an AHC for travel. The AHC is issued by the OV, not by Pet Passport Vet. We act as a booking intermediary and administrative facilitator only.
We do not guarantee that an AHC will be issued. The OV retains the professional and legal discretion to decline to certify where, in their clinical judgement, the animal does not meet the legal requirements for the AHC.
3. Booking and payment
A booking is confirmed when payment is successfully processed via Stripe. You will receive a confirmation email with a link to submit your pet's details. Payment is required in full at the time of booking.
Prices are displayed inclusive of VAT where applicable. The additional pet fee applies per additional animal on the same certificate (subject to a maximum of 5 animals per AHC as permitted by DEFRA).
4. Cancellations and refunds
You may cancel your booking at any time before your appointment. Refunds are processed as follows:
- More than 48 hours before the appointment: Full refund.
- 24–48 hours before the appointment: 50% refund.
- Less than 24 hours before the appointment: No refund, except where the OV cancels the appointment, in which case a full refund will be given.
Refunds are returned to the original payment method and may take 5–10 business days to appear. To request a cancellation, email info@petpassportvet.com with your booking reference.
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have a 14-day cooling-off period for distance contracts. However, by proceeding with a booking you agree that the service will commence before the end of this period, and acknowledge that your right to cancel may be reduced once the AHC has been issued.
5. Your responsibilities
You are responsible for:
- Ensuring your pet's microchip was implanted before the rabies vaccination (required by EU/UK law).
- Ensuring your pet's rabies vaccination is current and valid at the time of travel.
- Providing accurate vaccination, microchip, and identity information. Inaccurate information may result in an invalid AHC and denial of entry at the border.
- Checking the specific entry requirements of your destination country, including any additional health measures (e.g. tapeworm treatment, health test certificates).
- Ensuring the AHC is used within its validity period (typically 10 days from the date of the clinical examination for most EU countries).
6. Limitation of liability
To the fullest extent permitted by law, Pet Passport Vet is not liable for:
- Refusal of entry to any country due to changes in border requirements or inaccurate information provided by you.
- Delays or failures caused by third-party services (Stripe, email delivery, etc.).
- The clinical decisions of the OV.
Our total liability to you in connection with any booking shall not exceed the amount paid by you for that booking.
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other matter that cannot be excluded by law.
7. Intellectual property
All content on this website is owned by or licensed to Pet Passport Vet. You may not reproduce, copy, or distribute any material without our written permission.
8. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
9. Changes to these terms
We may update these terms from time to time. The current version is always available on this page. Continued use of the platform after changes constitutes acceptance of the updated terms.
